JP Urban Moving
JP URBAN MOVING TERMS AND CONDITIONS
Please read this document carefully. By moving with JP Urban Moving, you agree to be legally bound by the Terms and Conditions of this agreement.
MOVERS LIABILITY AND COVERAGE: Whether you move with us or another moving company, one of the most important things to understand is the Movers Liability & Coverage. Under federal law, moving companies cannot sell moving insurance. However, they must provide Basic Valuation coverage, which offers limited protection for your move. This basic coverage may not adequately protect your belongings. Therefore, you may want to purchase Additional Valuation from your mover or obtain separate moving insurance.
JP Urban Moving Basic Valuation: Basic valuation coverage is included for free in every move at a rate of $0.30 per pound. This means if a 20-pound item gets damaged, we would pay you $6.00, no matter how much the item is worth ($0.30 x 20 pounds = $6).
Purchase Additional Valuation for better protection. Additional Valuation offers greater coverage for your things, and can help fix or replace items if they get damaged or lost. You can buy different levels of Additional Valuation. The level you choose will provide different protection levels and decide how much money you get back if something gets damaged or lost. Check the Additional Valuation page for pricing.
HOW TO UNDERSTAND YOUR ESTIMATE
Pricing
Our hourly pricing model offers flexibility and transparency. There is a 2-hour minimum for residential jobs and a 3-hour minimum for commercial jobs. After meeting the minimum time, we bill in 15-minute increments, so you only pay for the actual time worked.
Job Hours
We charge by the hour, so we estimate how long your move will take based on the details you provided. The estimate provides an approximate cost for your move—not an exact or total cost. If you did not give us a full list of your inventory, we’ll make a guess based on what a place like yours usually has. However, you will be charged for the actual time it takes to do the job. The more details you share about your things, any special preparations, number of stops, and access to your locations, the more accurate our estimate will be.
Materials Cost
When we use materials on your job such as boxes, bubble wrap, shrink wrap, mattress bags, etc., you will be charged only for what we actually use. If you share your inventory with us, we can include an estimated cost of materials in your quote. On the day of the job, the actual cost will be added to your bill. See our packing supplies page for pricing.
All Estimates Include (at no extra cost):
Basic furniture disassembly/reassembly – we come equipped with the tools to prep and disassemble furniture pieces, reassembly items at your new location, and place them in designated locations (as needed).
Free Blankets & dollies– we wrap, and protect your furniture and common belongings like mattresses, lamps, mirrors, artwork, TV’s, AC’s etc. for safe transport.
Professional & Experienced Teams – you’ll have the best service from start to finish with a dedicated Moving Consultant, dedicated Dispatcher, Foreman and highly trained movers for your job (all trained employees—no contractors ever).
Well-maintained equipped GPS Truck(s) – for reliable and efficient navigation, helping us to manage your move smoothly and stay on schedule.
Your estimate may also include additional costs based on the specifics of your move, such as:
Estimated cost of materials used (see Supplies page for prices)
Estimated Staircase fee
- Certificate of Insurance fee
- Heavy item fee
- Other special handling fees
- Other administrative fees
The Estimates does NOT include:
Variables such as: Parking meter fees, Tolls, Storage Fees, Gratuities/tips for the crew. These charges, if applicable to your move, will be added to your bill on the day of the job.
PACKING SERVICES
If we are packing for you
Our team will carefully pack the contents from inside your drawers, cabinets, shelves, closets and other storage, into boxes or reusable moving bins, ensuring your belongings are packed efficiently and securely.
Full packing: We handle everything from packing and labeling your entire home/office and bring all the necessary packing materials like moving bins, boxes, bubble wrap, etc.
Partial packing: We help pack delicate, fragile items such as your dishes, glassware/china, artwork, or specific areas such as your kitchen, bathroom, bedroom, living room, garage, attic, or other designated areas of your home or office.
Eco-Friendly Packing: We may be able to offer eco-bins rental as an alternative to cardboard boxes subject to availability and delivery locations—Brooklyn, Queens and Manhattan only. If you are outside of the delivery area and you want us to pack for you, we will unpack you after the move, and take the bins back with us at the end of the job.
When we Unpack for you:
We will remove the contents of your boxes or reusable bins and place the items on surfaces, tables, or countertop spaces in the designated rooms for you to arrange/organize at your desired level. While we aim to make your move as smooth as possible, it’s important to note that our unpacking services do not include having our movers arranging or organizing items like an interior designer or professional organizer.
If we are unpacking reusable bins rented from JP Urban Moving, we will take them back with us at the end of the day. If the bins are from another company, we will stack them neatly out of the way after unpacking.
If we are unpacking Cardboard Boxes we will flatten and bundle cardboard boxes and leave them out of the way for you to recycle at your location.
If you want us to dispose of materials after unpacking, please let the Foreman know where the trash areas are at your destination. Otherwise, we can take it to the disposal facility for a fee. The cost for disposal will be added to your contract on the day of the job.
REUSABLE MOVING BIN RENTALS
As a moving company, we provide eco-bins as a convenient packing solution for our customers. To ensure we can efficiently serve all our clients, it is essential that you adhere to the agreed rental period and have the bins emptied and ready for pickup within one week from your move date or a late fee surcharge will apply. While we understand that unforeseen circumstances may arise, delays disrupt our operations and affect other customers waiting for bins.
Moving Bins Rental Fees: $4 per bin + delivery/pick up surcharge. Subject to availability and delivery locations in Brooklyn ($60 surcharge), Queens ($60 surcharge) and Manhattan( $80 surcharge). If you are outside of the delivery area and we are packing for you, we will unpack you after the move, and take the bins back with us at the end of the job.
Rental Duration: As a courtesy, we may be able to deliver the bins a week or few days in advance of your move date. The rental period for keeping the moving bins is one (1) week from your move date. The bins must be emptied and ready for pickup within this one-week rental period.
Late Fees: If the bins are not ready for pickup within one week from your move date, a daily surcharge of $0.50 per bin will apply for each additional day beyond the rental period. These fees add up quickly, so timely return is crucial.
If you are looking for long term bin rentals or extended rental periods, we recommend contacting our partners at Boxuprental.com or another bin rental company for long-term rentals.
FIXED CHARGES
Based on the specific requirements of your move, you may incur one or more of the following fixed charges as applicable to your job.
Certificate of Insurance
If a Certificate of Insurance (COI) is needed for your move, the cost is $45 per building. Some moving companies—especially those that offer flat rate pricing, may not reflect the COI cost as a line item on their estimates, but they do factor the cost into their overall pricing structure. As an hourly rate company, we provide transparency about all the associated costs involved in the moving process.
Travel Time
Travel Time is a fixed fee that we charge for the time it takes us to get from our base in Brooklyn, NY to your pick up location and then back to Brooklyn from the final location. It doesn’t include the time we spend moving your stuff from one place to another, which is already included in the hourly job time for the move. So, if you’re moving just a few blocks away in Manhattan, NJ, or PA, the Travel Time fee covers the trip from Brooklyn to your place and back again from your final location.
Local Surcharge
A local surcharge (between $25 – $50) applies to moves within local areas (Brooklyn, Manhattan, Queens, Bronx, Staten Island) to cover additional costs associated with local regulations, traffic, and parking. The specific amount will be detailed in your estimate based on the location of the move.
Long Distance Surcharge
A long distance surcharge applies to moves over a certain distance (outside of NYC) to cover additional costs associated with fuel, labor, vehicle maintenance, and logistical planning. This surcharge ensures that we can provide reliable and efficient service for long distance relocations. The specific amount will be detailed in your estimate based on the distance and complexity of the move.
Overnight Surcharge
We charge a $100 overnight storage fee to store your belongings on our truck when a move spans two days and cannot be completed in one day, typically for long-distance moves. Day 1: We arrive to pack, prep, disassemble furniture, and load your belongings onto the truck. Day 2: Early in the morning, we depart from our lot to drive to your new location, where we then unload, reassemble, and place your items. This surcharge covers the cost of securely storing your belongings on our truck overnight to ensure a smooth and efficient move.
VARIABLE CHARGES
Staircase Step Fee
If you’re moving in or out of a walk-up or home with stairs, we charge $1 per step per hour for the time it takes to load and unload on your move. For example, if it takes 2 hours to load or unload with 17 steps, the extra cost would be $34 ($17 per hour x 2 hours). The actual time and cost will be calculated on the day of the job.
Inventory & Special Handling Fee
We charge fees for moving special items that require extra care and resources. This includes but not exclusive of: pianos, grandfather clocks, pelotons, treadmills, safes, appliances and other specialized inventory, heavy or large items. These items need additional tools and manpower to ensure they are moved securely and safely. The specific surcharge will be detailed in your estimate based on the items and resources required for your move.
Crating Fee
We charge a crating fee when customers request custom crating for their items. The fees will vary based on the cost of materials and the labor required to properly crate the item, ensuring it is securely protected during the move. The specific amount will be detailed in your estimate based on the item’s size, weight, fragility and complexity. Moving Fine Art: Please let us know during the estimation process of any paintings, sculpture or other fine art so that we can bring the appropriate materials for protection. All pictures, artwork, mirrors, etc., must be adequately protected prior to moving.
Disposal Fee
The disposal fee is based on the volume of items that need to be taken to a disposal facility in Brooklyn. This fee covers the cost we incur for discarding items at the facility, which charges us based on the amount of waste. The specific amount will be added to your bill on the day of the job.
Special Services Fees
For moves that require the use of a forklift, hoisting services or other specialized servicing or equipment, we charge a fee as applicable to the move. The specific amount will be detailed in your estimate or added to your bill on the day of the job.
Move Coordination/Project Management
We sometimes charge a move coordination or project management fee, which varies based on the complexity of planning and managing your move (as a concierge service). This fee covers the costs of scheduling, communication, problem-solving, coordination of resources for your move, and administrative tasks to ensure a smooth and efficient process. The specific fee will be detailed in your estimate based on the details of your job.
Admin Accommodation Fees
For long-distance moves, such as those from NYC to Florida or other states requiring more than a day for driving and labor, we charge an Accommodation Admin Fee. This fee covers the cost of the moving crew’s necessary rest/overnight stay during multi-day moving jobs. It ensures our team can provide you with the highest level of door-to-door exclusive moving service. The specific fee will be detailed in your estimate based on the details of your job.
FACTORS THAT IMPACT THE FINAL COST
While we strive to provide accurate estimates and complete your move as quickly and efficiently as possible, the final cost may vary due to several factors. These factors include:
Job Time: We charge by the hour, estimating how long your move will take based on the details you provide. If you don’t give us a full list of your items, we’ll estimate based on similar moves to prep and move your items. However, you will be charged for the actual time it takes to do the job.
Additional Truck(s) Required: If it is determined on moving day that additional truck(s) are required due to insufficient information provided beforehand, the cost for the extra truck(s) and additional crew will be added to your contract. Charges will be based on the number of trucks and the size of the crew needed to complete your move.
Labor/Scheduling: JP Urban Moving reserves the right to send more or less workers depending on the scope of the job, projected efficiency, need and availability. If we need to add or reduce a worker, the hourly rate would be adjusted by $25/hr accordingly.
Materials Cost: The quantity of packing and moving materials needed for your job. See our packing supplies page for pricing.
Distance, Stops and Access: The distance of the move, the number of stops and accessibility of the locations, including whether stairs are involved.
The more detailed information you provide about your inventory, any special preparations, and access to your locations, the more accurate our estimate will be.
Unexpected Situations: Unforeseen circumstances that arise on moving day, such as:
Major disassembly and reassembly of furniture
Special handling for large or fragile items
Staircase or walkup access at locations
Additional packing, repacking, and unpacking
Rearranging furniture beyond the initial placement
Narrow staircases, long hauls, and challenging access points
Traffic, lack of parking and construction
Lack of freight entrances, slow or broken elevators
These variables can impact the final cost, and adjustments will be made based on the actual conditions encountered during the move.
RESCHEDULING & CANCELLATION POLICY
Moving is a seasonal business, and our reservations calendar is critical to our success. As a result, last-minute changes/cancellations can have a ripple effect on our business, including workers’ schedules, income, and other customers. We decline many requests/ jobs on fully booked days, and historically, it isn’t easy to re-fill dates with short notice.
To reschedule or cancel your move:
Please notify us by email as soon as possible. Change requests cannot be processed via phone or voicemail. Depending on the notice given, you may incur certain fees as listed below. Exceptions may be made for health-related difficulties and medical emergencies.
Notification of 7 Days or More Prior to Your Move Date: As a one-time courtesy, your non-refundable deposit can be transferred to another available date.
Notification of 6 Days or Less Prior to Your Move Date: You will forfeit your deposit, and a new deposit will be required to secure a new move date.
Notification Within 2 Days/48 Hours of Your Move Date: You will be liable for the 2-hour minimum charge based on the hourly rate for your job. Last-minute cancellations impact our business, workers’ schedules, and income.
Large Jobs (Multiple Trucks Over Multiple Days): If you cancel within 72 hours of your move, you will be charged 30% of the estimated job cost.
For Jobs with a CAP:
In the event you are offered a CAP, rescheduling a move during peak service dates (26th through 4th, plus all holidays) does not qualify for a CAP rate. If you reschedule your move during off-peak dates, we can consider transferring the CAP for your job.
CUSTOMER RESPONSIBILITY
Please visit the NYS DOT page on Consumer Moving information and the Summary of Information Booklet which describes your rights and responsibilities. Below are highlights of some important responsibilities you must exercise for your move. JP Urban Moving will not be held responsible for the following:
You must personally move your valuables and important documents: such as birth certificates, passports, financial records, jewelry, valuables, cash and credit cards, family heirlooms, sentimental items, and irreplaceable items. We cannot be responsible for these items, and movers have no liability for them.
You or a representative must be present for the move (in person or by phone/video) to answer questions, direct the movers and do a final walkthrough of the space.
You or representative must verify your things have been moved: check the space after moving out, and check the truck after moving in to make sure nothing has been left behind. Ideally, customers stay till the end when the movers are finished to ensure that everything has been unpacked and nothing is missing or damaged.
Special Handling & Equipment Liability
Anytime you move things that require special handling such as grandfather clocks, pianos, digital pianos, TV’s, Peloton bikes, exercise machines or other electronic and mechanical devices, unavoidable shifting in the internal parts may occur.
Customer Responsibility: If there are any issues with the equipment post-move, it is the customer’s responsibility to hire a technician or specialist to service the equipment at their own expense. Unless the item was dropped and there is physical damage/impact to the outside packaging of the item, JP Urban Moving cannot be responsible for unavoidable shifting or glitches that occur when moving such items.
Special Equipment/Commercial and Mechanical Devices
Depending on size, weight, building access, and other factors, equipment may need to be disassembled for moving and reassembled at the destination.
Customer Responsibility: Customers are responsible for dismantling and assembling the items for safe transport. If JP Urban Moving handles the dismantling and reassembly, we will not be held liable for any damages caused during this process, unless there is clear evidence of mishandling or dropping the item while in our care.
ADDITIONAL VALUATION
Greater Protection for Household Goods: Additional Valuation provides greater protection for items that can be easily repaired or replaced in the event of unexpected damage or loss. Consider purchasing moving insurance, if you have high-value items like custom-built furniture, antiques, fine art, sculptures, high-end equipment, irreplaceable goods, or other high-value possessions.
Moving Insurance Options: You can purchase moving insurance from third parties like MovingInsurance.com, with whom we are registered. Alternatively, check with your Homeowners, Renters, or Business Insurance provider to see if they cover your move.
Inspection and Documentation: Any items under Additional Valuation must be thoroughly inspected and documented with photos or videos before being handled by movers. We reserve the right to inspect and photograph items under Additional Valuation before preparing for the move. For electronics and devices such as TVs, they will be tested to ensure they are functioning properly before the move.
Packing and Protection: We reserve the right to inspect and repack poorly packed boxes as needed. If you instruct us not to pack or protect any item(s) against our better judgment, we will not be held responsible for any damage to those items due to inadequate protection.
Liability Coverage: If you choose Additional Valuation Coverage, we are liable to repair or replace damaged or missing items up to the level of protection, less any deductibles and depreciation.
Exclusion from Additional Valuation:
- Boxes Packed by Customer: Additional Valuation does not apply to boxes packed by the customer or other parties. Unless the boxes show significant signs of impact or damage, movers are not responsible for items in these boxes.
Storage and Pods: Additional Valuation does not apply to damage incurred while in storage or during transit with pods or other trucks.
Extraordinary/High-Value Items: Jewelry, paper currency, and valuable personal documents (e.g., birth certificates, passports) must be transported by the customer. If any high-value items are included in your shipment, you must specify this in writing prior to your move. There is no liability for these items.
Acts of Nature: You are not covered for damages outside the movers’ control, such as earthquakes, fires, floods, windstorms, etc.
THE MOVING PROCESS - WHAT TO EXPECT
Services We Won’t Do:
AC/TV/Artwork/Paintings: We are generally able to remove fixtures, but we cannot re-install them.
Plumbing and electric: We cannot perform plumbing services (such as connecting or disconnecting washing machines) or electric services (such as disconnecting connecting chandeliers).
Carpentry: We cannot perform any carpentry such as hanging pictures, mirrors or otherwise putting holes in walls for installation purposes.
Documenting Pre-existing Damage
We will document any pre-existing damage and point out any items that are particularly vulnerable to being damaged during the move. Expect us to take pictures of your belongings and buildings before and during the job.
Repacking Heavy Boxes
If a box is deemed too heavy or too large to be safely moved, we will repack it, charging for the time and material necessary to do so. See our packing tips page for more info on packing boxes.
Furniture Protection
We wrap all furniture with blankets and tape, and if necessary cardboard corners, shrink wrap and bubble wrap. If you instruct us to not wrap/protect a piece of furniture or any other item, you will need to sign a liability waiver in order for us to proceed. We are not responsible for damage to that item on the move.
Items That Do Not Fit
We are not responsible for items that do not fit into or out of your home. For this we recommend a few options: 1) contact a 3rd party professional like the couch doctor to disassemble, move, reassemble/reupholster; 2) we can place it in designated recycling area by your location; 3) we can take it back to the old place or to another location at the prevailing hourly rate; or 4) we can dispose of it or you for a fee.
Particle Board Furniture Damage
We are not responsible for damage to this type of furniture because there is an inherent risk of damage when disassembling and reassembling, or when moving without disassembling.
Pre-existing Cracks to Glass and Marble
Pre-existing cracks will likely get worse during the course of a move. This is unavoidable damage for which we are not liable.
Things We Won’t Move:
Although we like to think that we could safely pack and move just about anything, there are certain items that are off-limits and cannot be transported by us. This includes:
Hazardous Materials: Such as pool chemicals, fireworks, fire extinguishers, propane gas canisters, and any other highly flammable or toxic materials.
Perishable Items: Such as food that may spoil during transit and unsealed food containers.
JOB LIABILITY WAIVERS
Verification of Inventory Condition
When we handle items like artwork, TVs, glass and other inventory that is sensitive to damage impact, we conduct inspections of these items both before and after the move to ensure they are handled and transported without incident.
If you choose to forgo this inspection process, you waive your right to report or file a claim for any damages that occur during the move. We will not be held liable for any damages reported that we did not have the opportunity to verify.
Property and /or Furniture Damage Risk
If a couch or furniture cannot be disassembled or may not fit through access points such as walls, doors, frames, windows, or staircases, you will need to arrange for disassembly and reassembly by a specialist like New York Couch Doctor (NYCD). NYCD Contact Information: Phone: 516-328-8234. If you request that we move your item(s) against our better judgment, there is a higher risk of damage to both the item(s) and your property. This includes potential damage to walls, doors, frames, windows, staircases, etc. JP Urban Moving will not be held liable for any damages reported as a result.
Removing Fixtures, Doors, Windows
In cases where it becomes necessary to remove doors, windows, or other fixtures to facilitate the ingress or egress of inventory, a waiver of liability from the building owner is required before these services can be performed. JP Urban Moving we will not be held responsible for any potential damage that may occur during the removal and reinstallation of these items.
Hoisting
If an item does not fit and needs to be hoisted, and conditions permit, the cost will range from $100 to $200 per floor per item, depending on the item. The final cost will be determined by the Foreman on the day of the job. A waiver of liability is required before hoisting services can be performed. If the customer is not the property owner, they agree to assume all responsibility for any damage to doors, windows, or other property that may occur as a result of the hoisting.
STORAGE MOVES
Move Out Of Storage – First Time Service
When you hire us to move items out of storage that we did not originally pack or move into the storage facility, please be aware of the following:

Repacking: If we encounter fragile items such as TVs, glass, lamps, pictures, mirrors, or electronics that were not adequately packed, we will repack them properly before loading to ensure their safety.
Liability Limitations: Since we did not move your items into the storage facility, we cannot take responsibility for any damage that may have occurred before we arrived. We have no knowledge of how items were packed or who had access to them during their time in storage. Consequently, any damage to items from storage, JP Urban Moving cannot be held responsible.

UNLOADING TRUCKS/PODS/CONTAINERS
As a moving company, our primary service is to carefully unload your belongings and transport them to your designated location. While we take utmost care during the unloading process, it is essential to understand that we have limited liability for any damage or loss that may occur to your items during transit.
