Most buildings with move-in/move-out deadlines, elevator deadlines, doorman, and/or concierge services require a Certificate of Insurance (COI) before moving day.  Therefore, it is generally a good idea to consult with your building(s) to see if a COI is needed for your move. 

Why charge for COI’s? 

Charging for Certificate of Insurance (COI) is a common practice in the moving industry, due to the specific insurance requirements and liabilities involved. Obtaining COIs often leads to additional expenses for COI moving company, as they must pay premiums or administrative fees for each certificate issued. Some moving companies—especially those that offer flat rate pricing, may not reflect the COI cost as a line item on their estimates, but they do factor the cost into their overall pricing structure. As an hourly rate company, we provide transparency about all the associated costs involved in the moving process.

As you prepare for your move, it’s essential to understand why your building may require a Certificate of Insurance (COI). Your building doesn’t require movers COI as a formality only. It protects everyone involved, from the moving team and property owners to other tenants in your building. For example, if something goes wrong during your move, like damage to the elevator glass or a minor injury to one of the team members, having a COI means that your moving company certificate of insurance will cover the cost. COI For Customers

If you need a COI for moving  for your building(s), here’s what we need from you:

Ask your building/management for a Sample COI (usually a PDF). If they do not have a Sample COI, ask them to provide a list of COI requirements that specify the Certificate Holder’s name and any Additional Insured information.

Please make sure the apartment number# is clearly listed for the building(s).

Also include the contact information (email and phone) for the building(s)/management where possible. 

The cost of a COI is $45 per building. After you gather all the information, send it to us COI@jpUrbanMoving. We will process the information, email it to your building, and copy you on the correspondence.

Please also include an email contact for the building/management if possible. The COI will be provided to that contact with you copied. If no email contact is provided, the COI will be sent directly to you with a request to pass the documents along to management.

For Buildings/Management

If your tenants are required to obtain a COI for moving: 

Please provide them with either a Sample Certificate PDF or a list of requirements that specify the certificate holder and any Additional Insured information. Once we have the information for your COI, we will email your building/management a copy.

How the COI Process Works

1. Contact Us to Request a COI

If your building requires a COI, inform us, your trusted moving company, as soon as possible, ideally a few days before your scheduled move. Early communication is key to ensuring everything is ready on your moving day.

2. Information Needed from the Building

To prepare your COI, your moving company will need specific information from your building management, including:

  • Building contact details: Who should our movers communicate with?
  • Building manager information: Name and contact number of the person in charge.
  • Specific insurance requirements: Any unique requests from your building.

3. COI Preparation and Submission

Once your moving company has your necessary details, they will contact their insurance provider to prepare the moving company insurance certificate. After gathering all the required information, they will send the completed document directly to your building manager. This is what JP Urban Movers do.

4. Processing Time

To avoid last-minute issues, contact your moving company at least 2–3 days before your move. This gives us enough time to prepare and deliver the certificate of insurance moving company to your building without any stress on your part.
